Every layer is designed so that the wrong person cannot see, change or export what they shouldn't, and the right person can prove what happened.

Two-factor for admins

TOTP enrolment on first sign-in with a QR code and a 6-digit authenticator code on every sign-in after. Required per role, toggled in Roles & permissions.

Granular permissions

19 modules × view, create, edit, approve, delete. Scope each role to the whole company, a department, a team or only themselves.

Audit log with diffs

Every create, update and delete with actor, IP and timestamp. Updates show a field-by-field before / after comparison.

Encrypted financial data

Bank account, IFSC and PAN are encrypted at rest and shown masked in the console. Blank fields on edit keep existing values.

API-only data access

Neither app talks to the database directly. Every request carries a signed identity token to the backend API, which enforces permissions.

Isolated deployments

Admin console and employee portal are separate apps on separate origins, with an allowlist and token audience checks per origin.

FAQ

Questions teams ask before switching.

Is Nexocide HRMS one app or two?

Two apps on one backend. HR and admins use the admin console, which is protected by two-factor authentication. Employees use the self-service portal for check-in, leave, payslips, policies and Team connect. Both read and write the same data through the API, so an approval in the console shows up in the portal immediately.

Do employees need an authenticator app too?

No. Two-factor authentication is enforced for admin roles that require it. Employees sign in with their work email and password, and can reset their password themselves.

Can we use our own employee ID scheme and extra fields?

Yes. Set a prefix, start number and padding (for example NEX-1001) with a live preview; once saved it is locked so IDs stay stable forever. Custom fields (text, number, date, dropdown or file) are versioned and appear automatically in the add and edit employee forms and on the profile.

How does payroll handle attendance and adjustments?

Salary components can be fixed or formula-based and mapped to PF, ESI, PT or TDS. When you run a month, attendance-based loss of pay is applied from the register. While the cycle is a draft you can add bonus, arrears, reimbursements or deductions per employee. Locking finalises payslips and unlocks the bank transfer sheet and statutory report; later changes are recorded as revisions with a reason.

Who approves leave and attendance corrections?

Each leave policy defines its chain: manager, HR or both. Requests move level by level, and every decision keeps its remarks and timestamp. Attendance corrections raised from the portal are approved or rejected by HR with remarks. The reports page flags anything ageing past 3 or 7 days.

What does the audit log actually record?

Creates, updates and deletes across the system, with the actor, entity, IP address and time. Updates open a before / after diff that labels each field as added, removed, changed or unchanged. You can filter by entity type, action, actor, date range or entity ID.

Can we get our data out?

Every report tab exports to Excel. Payroll exports a bank transfer sheet and a statutory report, and every payslip is a downloadable PDF. Employees can download their own payslips and documents from the portal.
